The Bookkeeper/Office Manager is responsible for eQualitie's day-to-day accounting and bookkeeping and helps drive the administrative, human resource and logistic operations of eQualitie. We’re looking for someone with prior experience in non-profit and commercial organizations. The person reports to the “Operations and Finance Manager”.

Bookkeeper Responsibilities:

  • Verify, allocate and post transactions to SAGE software

  • Manage accounts payable, accounts receivable in two currencies, CAD and USD

  • Allocate revenues and expenses to ongoing projects

  • Reconciliation of bank and credit card accounts

  • Preparation of monthly income reports

  • Preparation of government reports (DAS, TPS, TVQ, CSST, etc.)

  • Oversight and management of general ledger as well as multiple project ledgers

  • Maintain financial policies and internal controls

  • Maintain petty cash account

  • Prepare and process payroll while tracking level of effort worked by staff members

Office Manager responsibilities:

  • Support management in staff recruitment, internal documentation, record keeping

  • Administrative support to eQualitie’s technical infrastructure and knowledge platforms

  • Communications with external partners and volunteers


  • Minimum post-secondary diploma specializing in bookkeeping and business administration or equivalent

  • Minimum 5yrs experience in an office environment performing bookkeeping and administrative functions for commercial and non-profit entities

  • Full knowledge of Sage/Simply Accounting

  • Familiarity with Quebec and Canadian labour laws, corporate tax policies, sales taxes, payroll, and general HR management and policies

Desirable Qualities

  • Accuracy and attention to detail, while keeping sight of overall financial picture

  • Able to prioritize workload and meet deadlines

  • Confidence and proficiency adopting new information systems (task management, knowledge management, wikis, markdown)

  • Independent multi-tasker

  • Excellent organizational and communication skills

  • Bi-lingual (French / English)

This role is full-time and temporary (6 months) with a possibility of extension.
